This is an opportunity for a qualified bookkeeper/purchasing administrator with exceptional multi-tasking, organizational and communication skills. Salary is commensurate with overall experience.Description: A key member of administrative team in a very diversified fast paced environment. The candidate must ensure compliance with all company policies and procedures while using analytical skills to be a resource to sales and daily operations. They will provide a high-level support to all areas of the company, relieving them of clerical business detail. This position performs tasks which require strong skills in organization, communication, math and planning, ensuring accurate and timely internal administration and adherence to proper purchasing, bookkeeping and report procedures.Responsibilities: The following represents the main job duties of the Bookkeeper / Purchasing Administrator; however, it is not an all-inclusive list of all the job duties that may be required. All employees are expected to perform other related duties as assigned by the supervisor and/or management.Management Role / Responsibilities: Handles bookkeeping/accounting and purchasing operations of the office. Organizes office operations and procedures, such as word processing, bookkeeping, assist with payroll processing, flow of correspondence, filing, requisition of supplies, purchasing or spare parts, and other clerical services. Formulates procedures for systematic retention, protection, retrieval and transfer of records. Answer phones and collaborate with Sales. Collaborate with Maintenance/Plant Staff for products and services as related to Purchasing functions. Data entry, Proper coding of all payables and accounting. Process A/P, A/R and GL Responsible for confidential and time sensitive material, and keeping licenses, insurances and permits up to date. Helps evaluates employees and improve systems for better office production and information flow. Maintaining production logs. Responsible for office activities such as researching, records maintenance, filing, etc. Assist with office security, safety, and maintenance. Assists in resolving problems related to the day-to-day operations of the production facilities and office. Monitor and control operating expenses to include identification of savings opportunities in all departments and develop and oversee company budgeting. Assist applicants and employees, and maintain absentee log. Review and process incentive programs General office duties such as ordering office supplies, faxing, copying, etc. Developing written schedules and procedures. Daily written and verbal communication with management Keep office procedures up to date Reviews clerical and personnel Skills and Requirements: Ability to prioritize work and meet strict deadlines Self starter and aggressive work ethic Ability to work well with others as well as independently Must have strong computer skills (Outlook, Excel, and Word, QuickBooks). Self motivated and excellent problem solving abilities Superior organization and communication skills, both verbal and written Excellent phone skills Strong multi tasking skills Strong interpersonal, written and verbal communication skills required. Outgoing, friendly and positive attitude customer service driven Pass a background check and drug screen. Be able to maintain confidentiality, be able to provide and receive constructive feedback, be able to work in a fast pace environment, the ability to work within strict time frames and deadlines, be able to manage concurrent projects, be able to use the standard office equipment (fax, PC, copier, calculator, etc.) and be able to carry out written and verbal instruction. Proficient with 10-key entry. Ability to handle pressure with poise and professionalism A fun, positive attitude with a sense of humor Must be a local candidateExperience: Familiar with all MS Office products, especially Excel. Experience with QuickBooks or similar software Accounting and Bookkeeping skills Customer service, customer invoicing and purchasing skillsMinimum Qualifications: Associates Degree or equivalent business experience required. Five years or more office experience with similar responsibilities required. Finance background preferred Fast paced work ethic and multi-tasking abilities Payroll background preferred Small and/or manufacturing business experience preferred Be able to provide excellent business and personal reference
