GENERAL DESCRIPTION: The Purchasing Manager is a full-time, FLSA-exempt position reporting to the Director of Business Operations and working closely with the Director of Sales and Marketing, and the Installation and Warehousing Teams at all ASF warehouses. The Purchasing Manager will be responsible for pricing negotiations and inventory decisions, as well as performing and/or supervising the performance of a wide range of tasks supporting all aspects of product operations. Thorough product knowledge is required for this position, as are close contacts with vendors and the Advantage sales team. I. JOB RESPONSIBILITIES: A. Negotiate_Pricing_and_Payment_Terms: The Purchasing Manager should be able to negotiate product pricing, freight pricing, and freight program pricing, and payment terms with all vendors and shipping companies. B. Stocking_Product: The Purchasing Manager will determine what SKU s and quantities to stock at all Advantage or Advantage delivery subcontractor warehouses, in conjunction with the management team, sales team, and warehousing teams, taking into account a variety of considerations, such as trends in the fitness industry, SKU sales history, upcoming changes in vendor product offerings, overall dollar value of inventory, number of inventory turns per year, etc. The Purchasing Manager will also manage inventory transfers between warehouses or between subdivisions of warehouses. C. Inventory_Control: The Purchasing Manager will ensure that the inventory count and the inventory value in the business software match actual conditions. She or he will implement periodic cycle counts and plan and implement the annual physical inventory count at all locations. D. Manage_Information_in_Company_Databases_regarding_product_SKU s The Purchasing Manager will manage adding new SKU s into company systems, retiring old SKU s, pricing changes, product number and product description changes, updating SKU s on sales orders as necessary with regard to new or revised SKUs, etc. E. Product_Lead_Times_and_Availability: The Product Manager will track lead times as well as product updates and availability by vendor/product and communicate that information regularly to the Director of Sales and Marketing for dissemination to the sales team and for joint planning of product availability in our various markets. F. Supervise_and/or_Perform_basic_Purchasing_functions: 1. Placing_Purchasing_Orders: Generate and place purchase orders for items not in stock, taking maximum advantage of combining orders, free freight, dating programs, etc. 2. Tracking_Purchase_Orders: Track the status of all purchase orders. Maintain a current list of expected arrival dates for all purchase orders which have been placed. Disseminate expected arrival information to Director of Sales and Marketing, Warehouse Manager, and Installations Manager as required. Transmit shipping information to the Warehouse Manager as necessary. 3. Receiving_Purchase_Orders: Verify that received items match ordered items. Follow up with vendors and shippers regarding all backorders, inconsistencies, freight claims, etc. 4. Process_Invoices: Verify that invoices received from vendors match Advantage purchase orders in items, quantities, and prices, and that the Advantage purchase orders match the order actually received. 5. Freight_Management: Select freight methods for maximum efficiency and minimum cost. Ensure that all freight bills are appropriate, are linked to their proper Purchase Orders, and are properly recorded in the business software. II. SKILL/CHARACTER REQUIREMENTS: A. Interpersonal/Communications Skills: The Purchasing Manager must be a strong communicator who works effectively with a wide variety of people, including customers, fellow workers, vendors, and company management. The Purchasing Manager represents the company to our vendors on the phone and must conduct him/herself in a professional manner at all times. The Purchasing Manager must possess strong verbal and written skills in order to provide effective communications with customers, fellow workers, vendors, and company management. B. Computer Skills: The Purchasing Manager must have a strong aptitude for the use of computers in order to document and analyze all product-related activities in various databases. Typical computer activities include interacting with vendor websites, sending emails, drafting letters, entering information into and querying databases, and analyzing data with spreadsheets, pivot tables, and custom analysis programs as provided. C. Organizational/Planning Skills: The Purchasing Manager must possess strong planning and organizational skills in order to effectively manage product ordering in a cost effective but timely manner. Attention to detail, efficiency of operation, and the ability to follow up and track details are crucial to the level of performance required in this job. D. Management Skills: The Purchasing Manager must be capable of directly managing one or more employees and evaluating employee performance. He/she will hold regular meetings of the Purchasing Staff in order to ensure efficient operations and to gauge employee morale. E. General Characteristics: The Purchasing Manager must conduct him/herself in a professional manner, must be thoroughly dependable and responsible, and must be highly organized and highly attentive to detail. An extremely strong attendance record is a critical requirement of this position. III. COMPENSATION/BENEFITS The Purchasing Manager is an FLSA-exempt, salaried, permanent full-time position and is eligible for benefits in accordance with the Employee Handbook. The anticipated workweek is approximately 50 hours, generally during normal business hours, but extraordinary hours may be required from time to time as the business needs demand.
